Engineering Pipe Procurement Guide for Monitoring Projects
GEOLUR guides procurement of PVC/PVC-U monitoring pipes, ABS inclinometer casings, PE/HDPE well pipes and custom perforated pipes through clearer specifications, QA/QC, documentation and project-ready RFQs.
Engineering Procurement Overview
Buy the specification — not just the pipe name.
Engineering pipe procurement for geotechnical monitoring, groundwater wells and dewatering should convert a design requirement into an inspectable commercial scope. “PVC pipe”, “ABS casing” or “HDPE screen” is rarely enough. The RFQ should define dimensions, material, joints, functional geometry, accessories, documentation, QA/QC and delivery conditions before competing quotations are compared.
Define critical parameters
Lock the parameters that affect measurement, fit, strength, filtration or installation before commercial comparison.
Compare equivalent scope
Unit price only becomes meaningful after pipe length, connections, accessories, packing, documents and delivery basis are aligned.
Define evidence before order
Certificates, drawings, inspections and traceability should be requested in the RFQ, not discovered as missing after production.
Procurement Workflow
A six-step path from design requirement to delivered pipe.
GEOLUR recommends separating technical definition from commercial award. This reduces late substitutions, missing accessories and disputes over what the quoted pipe actually means.
Define Function
Monitoring, inclinometer, dewatering, recharge, relief, environmental well or custom screen.
Freeze Schedule
Material, dimensions, lengths, joints, screen geometry, accessories and quantities.
Request Evidence
Datasheets, drawings, certificates, test information and proposed deviations.
Level Bids
Compare technically compliant scope on the same delivery and documentation basis.
Inspect & Release
Confirm critical dimensions, configuration, labels and documents before shipment where required.
Handover
Receive, identify, store and issue materials against the approved project schedule.
Product-Specific Procurement
Different GEOLUR pipe families need different acceptance criteria.
A procurement template should follow the engineering function of the product. The fields that matter for an inclinometer casing are not the same as those that matter for a monitoring-well screen.
Monitoring & Well Pipes
Define OD/ID or nominal size, wall requirement, length, joint, plain/screened interval, slot/opening, caps and intended groundwater application.
PVC / PVC-U product page →Inclinometer Casings
Define compatible probe, OD/ID, section length, groove profile, allowable spiral/twist, fixed or telescopic joints, caps and depth/application.
ABS casing product page →Engineering & Well Pipes
Define material grade where applicable, OD/wall/SDR or pressure class if relevant, connection method, pipe length, screen requirement and well duty.
PE / HDPE product page →Perforated Pipes
Freeze the base pipe and drawing revision, then define slot/hole size, rows, pitch, orientation, screened interval, opening area where required and tolerances.
Perforated pipe product page →Specification Schedule
The minimum data a technical bid should make visible.
Strong procurement schedules make technical equivalence easy to verify. The exact fields vary by product, but the principle is consistent: important geometry and performance should not be hidden behind a generic catalogue description.
| Field | PVC / PVC-U | ABS Inclinometer | PE / HDPE | Custom Perforated |
|---|---|---|---|---|
| Material | Material formulation/grade as specified; suitability for intended well/monitoring use. | ABS material and any project-required virgin/recycled-material restriction. | PE grade/type where specified; project-required pressure or dimensional series if applicable. | Base-pipe material and product reference. |
| Dimensions | OD, ID or nominal size, wall, length. | OD, ID, casing length, groove geometry. | OD, wall/SDR where applicable, length. | Base-pipe OD/ID/wall plus screened-zone dimensions. |
| Functional Geometry | Slot width, screened interval, open area if required. | Four guide grooves, groove alignment, spiral/twist criterion. | Screen/opening geometry where used as well pipe. | Slot/hole size, rows, pitch, orientation, opening pattern. |
| Mechanical | Collapse, tensile/joint load or depth criterion where project-relevant. | Joint pull-apart/collapse/twist or casing limits where required. | Pressure/ring stiffness/collapse or installation criteria where relevant. | Remaining wall and mechanical acceptance after perforation where relevant. |
| Connection | Threaded, flush thread, socket, solvent-weld or approved alternative. | Push-fit, fixed coupling, telescopic coupling or specified system. | Threaded, mechanical or welded connection as applicable. | Connection must remain compatible with the selected base pipe. |
| Accessories | Caps, couplings, screens, filter interfaces, protection. | Bottom/top caps, fixed/telescopic couplings, protective cover. | Fittings, caps, adapters, screen sections. | Transition sections, caps, couplings and custom drawings. |
Connections & Interfaces
A cheaper pipe with the wrong joint can be the expensive option.
Connections affect installation time, external diameter, sealing, tensile transfer, alignment and compatibility with accessories. They should be treated as part of the product specification, not an afterthought.
Inclinometer Alignment
ABS casing joints must preserve guide-groove alignment. Push-fit or keyed systems can reduce assembly error, while conventional coupled systems may require rivets, seals or tape according to the product design.
Monitoring-Well Profile
Flush threaded joints can reduce projections in a borehole. Socket or other joint styles may change the maximum external diameter and installation clearance.
PE / HDPE Joining
Mechanical, threaded or welded arrangements each change installation equipment, assembly time and field QA/QC. Do not accept a material substitution without confirming the jointing method.
Material & Equivalent Product Review
“Equivalent” should mean technically equivalent — not visually similar.
Alternative products can reduce lead time or cost, but the buyer should compare the parameters that make the product function in the installed system. Brand substitution is not enough.
ABS inclinometer casing — what must remain equivalent?
Probe compatibility, internal groove geometry, OD/ID, section length, spiral/twist performance, joint alignment, sealing, coupling type, expected settlement/heave accommodation, collapse/installation limits and accessories should be checked against the approved requirement.
PVC/PVC-U well pipe — what must remain equivalent?
Material suitability, OD/ID/wall, connection, pipe length, collapse/tensile or depth criteria where required, slot size, open area, screened interval, filter interface and chemical/sampling requirements should be compared.
PE/HDPE — what changes when material changes?
Flexibility, jointing, dimensional series, pressure/collapse behaviour, installation method, screen fabrication and chemical or groundwater-sampling suitability may change. A PVC-to-HDPE substitution should therefore be reviewed as an engineering change, not only a material change.
Custom perforated pipe — what defines equivalence?
The approved drawing revision, base pipe, perforation method, opening size/tolerance, row count, spacing, orientation, screened length, open area where specified, deburring/finish and connection must all be considered.
Technical Submittals
Ask for the evidence you will need to approve, inspect and install the product.
A procurement package should distinguish mandatory documents from documents that are only available for certain manufacturers or product lines. GEOLUR recommends writing document requirements into the RFQ and purchase order.
- Product datasheet / technical data sheet
- Dimensioned product or fabrication drawing
- Connection / coupling detail
- Material declaration or certificate where required
- Applicable product certificate where specifically required
- Manufacturing / batch traceability information where available
- Critical dimensional inspection record where requested
- Custom perforation drawing and revision
- Installation guide / manual where applicable
- Packing list and bundle identification
- Inspection photos where included in the order
- Deviation / equivalence schedule for proposed alternatives
QA/QC Before Shipment
Inspect the parameters that cannot be fixed easily after delivery.
GEOLUR, operated by GeoOrigin Engineering Limited, can coordinate agreed product and document checks within the confirmed commercial scope. The inspection plan should focus on critical-to-function characteristics rather than generic photographs alone.
Identity & Traceability
Confirm item, material, size, quantity and available production/batch identification against the order.
Critical Dimensions
Verify agreed OD/ID/wall, length, coupling dimensions or other dimensions that affect compatibility.
Functional Geometry
Check inclinometer grooves or perforation/slot geometry where these features define product performance.
Connections & Accessories
Confirm coupling type, alignment, seals, caps, adapters and quantities before the shipment leaves the supplier.
Visual Condition
Check for deformation, damaged ends, blocked slots, excessive burrs or visible handling damage relevant to installation.
Document Pack
Close out requested datasheets, certificates, drawings, inspection records and packing information before release where possible.
Technical & Commercial Bid Evaluation
Level the bids before comparing price.
Quotations can look comparable while hiding different pipe lengths, connection systems, accessories, document scopes or delivery terms. A short bid-levelling schedule can expose these differences before award.
| Evaluation Item | Compliant Bid Should Show | Common Procurement Risk |
|---|---|---|
| Technical compliance | Clear response to each required parameter and a stated deviation schedule. | “Equivalent” offered without showing what is different. |
| Unit basis | Price per defined length, piece, metre or complete set. | Comparing 3 m sections with 1 m sections or incomplete sets. |
| Accessories | Couplings, caps, seals, adapters and tools clearly included or excluded. | Low pipe price followed by high accessory cost or missing installation items. |
| Documentation | Requested drawings/certificates/inspection records listed as included, optional or unavailable. | Approval delay because documents were assumed rather than quoted. |
| Lead time | Manufacturing plus document approval, packing and transport basis. | “Ex works lead time” mistaken for site delivery time. |
| Packing / freight | Pipe length, bundle method, freight basis and destination clearly stated. | Long-length pipe causes unexpected freight or container-loading cost. |
| Change control | Approved drawing/specification revision identified before production. | Custom perforation or dimensions produced to an obsolete revision. |
Regional & Global Procurement
The same pipe can create different procurement risks in different markets.
GEOLUR supports international project enquiries. Regional conditions affect documentation, storage, transport, site access and the amount of technical evidence that should be resolved before shipment.
Programme, humidity, soft ground and constrained urban sites
Monitoring projects can require rapid delivery into dense construction programmes. Procurement should confirm casing/well depth, accessories and spare quantities early, while packing and storage should prevent deformation or contamination before installation.
Traceability, standards and environmental-well documentation
Projects may place stronger emphasis on product-specific standards, traceability and groundwater-sampling compatibility. The buyer should identify the exact required standard or certificate instead of assuming all European projects require the same documentation.
Heat, long logistics and groundwater-control duty
Long-distance freight, high storage temperatures and major dewatering works can increase the importance of packing, UV/heat protection, joint selection, well depth and chemical/groundwater compatibility.
Industry Procurement Benchmark
What strong industry product documentation teaches buyers to ask for.
Leading suppliers publish different technical data because their products solve different problems. The useful lesson for GEOLUR buyers is not to copy a competitor’s numbers; it is to copy the discipline of making critical parameters visible.
Inclinometer casing
Soil Instruments publishes groove accuracy, joint features, material, dimensions and downloadable manuals; Sireg highlights production control of grooving and spiraling. A procurement schedule should therefore define casing geometry, joint system and measurement compatibility, not only “ABS 70 mm”.
PVC screen & casing
Boode publishes OD/ID, wall, installation-depth guidance, collapse resistance, joint loads, slot sizes and connection types. This demonstrates the level of information needed when well pipe is a structural and hydraulic component rather than commodity plumbing pipe.
Well-screen submittals
Johnson Screens’ published specification framework calls for detailed screen submittals such as dimensions, material, slot size, collapse strength, open area and transmitting capacity. Buyers can use the same logic when defining custom screen documentation.
Groundwater material traceability
A Royal Eijkelkamp-hosted Kiwa certificate for monitoring-well PVC/HDPE products illustrates product identity, material marking, production coding and traceability expectations for environmental groundwater applications.
Manufacturing QA
AGRU documentation shows a quality model covering incoming raw materials, production and finished-product inspection, with inspection certificates available for specified products. The buyer should ask which equivalent evidence actually applies to the offered pipe.
GEOLUR procurement advantage
GEOLUR can organise an RFQ around application, specification, connections, customisation, documentation and delivery rather than sending buyers through unrelated commodity pipe catalogues.

Frequently Asked Questions
Engineering pipe procurement FAQs.
What information should be included in an ABS inclinometer casing RFQ?
Include probe compatibility, casing OD/ID, section length, total depth, fixed or telescopic coupling requirement, expected settlement/heave, spiral/twist criterion where required, top/bottom caps, quantity and documentation requirements.
Why is nominal pipe size alone not enough for PVC or HDPE?
Different wall thicknesses, IDs, connections and dimensional series can share similar nominal descriptions. The borehole, pump, sensor or coupling may depend on actual OD/ID and joint dimensions.
Should the lowest unit-price compliant bid always win?
Not necessarily. The buyer should compare equivalent pipe length, connections, accessories, documentation, inspection, packing, freight, lead time and installation consequences. A cheaper item can create higher total installed cost.
Can a supplier offer an equivalent material or brand?
Yes, if the project allows alternatives. The supplier should identify deviations and show equivalence for the parameters that control function, installation and acceptance rather than relying on a generic statement that the product is “similar”.
What should be checked for custom perforated pipe?
Confirm the approved base pipe, drawing revision, slot/hole dimensions and tolerances, rows, pitch, orientation, screened interval, open area where required, finish/deburring, connection and quantity.
Should certificates be requested before or after order?
Before order. The RFQ should state the exact required certificate, standard or inspection record so the supplier can confirm whether it applies to the offered product and whether it is included in price and lead time.
How should long pipe lengths be handled in procurement?
Confirm manufacturing length, transport length, bundle dimensions, container or freight constraints, site lifting/storage and whether shorter sections would increase joint count or installation time.
Can GEOLUR review an existing BOQ or specification?
GEOLUR can review the pipe/casing procurement scope and flag parameters that need clarification before quotation. Final engineering design, approved substitutions and project acceptance remain with the responsible project parties.
